Introduction to the Quality Management Module

Introducing this module

The Quality Management Module has been designed to manage the quality safeguards for each detailed element of a project. The module offers complete visibility and live reporting available to all parties.

Work on a project is broken down into "lots" of work.  Within each "lot" there is a series of "lot work elements" which make up an entire lot.  There may be many Inspection and Test Plans for each lot.  The Quality Management Module provides a way to manage the many elements and required quality testing required.

Each “lot of work” is broken down into “lot work elements” which automatically have set inspection and tests plans build within. Progress is entered on each lot work element. Reporting is available by lot element or lot.

Create an Inspection and Test Plan (ITP)

  1. Click on Quality Management Module
  2. Click on ITP document type from the sub menu.
  3. Click on New to create a new ITP.
  4. Address the ITP to the appropriate parties.
  5. Enter a Status – use Draft until you are ready to issue the ITP. Once issued, the status will be Initiated.
  6. Enter a meaningful Title for the inspection and test plan which is in line or matches the approved IPT this IPT checklist pertains to.
  7. Select the ITP code from the dropdown box.
  8. Enter ITP Type.
  9. Enter the tasks descriptions in the order they are to be completed. Enter the initials of the person to check if known (this can be changed later).
  10. Enter the items in the table format. Enter the ITP sequence steps in the order that the plan must be completed.
    1. Item number – enter the numeric step.
    2. Task – enter the description of the activity which must be completed as part of the ITP.
    3. Frequency – enter how often or when the activity should be completed.
    4. ITP code – enter an ITP code if applicable.
    5. Acceptance Criteria – enter the description of necessary compliance for acceptance.
    6. ITP revision – enter any ITP revisions if applicable.
    7. Action Point – enter the action that is to take place.
    8. Standard Spec – enter if is a hold point, witness point or test point.
    9. Enter the responsible parties from the client or contractor.
  11. After entering the first task, Click to add the next task.
  12. If you need to delete a task, Click .
  13. Click .
  14. If you have saved this in Draft status, Issue the document once you are ready to circulate the document.

Create a LOT (LOT)

  1. Click on Quality Management Module
  2. Click on LOT document type from the sub menu
  3. Click on New to create a new LOT.
  4. Address the LOT to the appropriate parties.
  5. Select an open Status from the dropdown box.
  6. Enter a meaningful Title for the Lot of work represented.
  7. Enter the Spatial Location information in the allotted fields.
  8. Enter any Contractor or Client comments if applicable.
  9. Click .

Create a Sub-lot (sub-lot)

  1. Click on Quality Management Module
  2. Click on ITP document type from the sub menu
  3. The ITP Register will display in the List Frame.
  4. Click on the ITP you would like to use to create the sub-lot.
  5. Click Split
  6. Scroll to Type and select sub-lot as the type of document to Split to.
  7. Address the document to the appropriate party(ies).
  8. Enter a Status – use Draft until you are ready to issue the ITP. Once issued, the status will be Initiated.
  9. Enter a meaningful Title to describe the work element.
  10. The ITP and ITP Type will automatically fill in, verify they are correct.
  11. Enter the Lot Description.
  12. Enter the Lot ID.
  13. Enter the Lot Location.
  14. The ITP Checklist will automatically imbed in the sub-lot document.
  15. Add any comments if applicable.
  16. Click .
  17. If you have saved this in Draft status, Issue the document once you are ready to circulate the document.
  18. The sub-lot will preview in a separate window. NOTE: It is necessary to now associate this sub-lot with the Lot. This is a crucial step for proper reporting.
  19. Click Associate.
  20. Search for the correct Lot (LOT), highlight the correct lot, and press the right arrow key to move the document in the documents to associate box.
  21. Click .

Work Progress

  1. Click on Quality Management Module
  2. Click on sub-lot document type from the sub menu
  3. The sub-lot register will display in the List Frame.
  4. Click on the sub-lot you would like to use to log progress.
  5. Click Respond
  6. Scroll to the item of the work performed, enter if the item conforms or not using the dropdown box.
  7. Enter your initial and add a comment if applicable.
  8. Click .

Action Forms

When an Action point requires a form to be filled out (Hold Points, Witness Points, Test Requests, Survey Requests, Approval Points, Inspection Points,Test Points)  or a Non-conformity report (NCR) or Corrective Action Request (CAR) is required at this step, Split from the sub-lot Preview screen.
  1. After entering the progress on the sub-lot, the sub-lot will preview on your screen.
  2. Click Split.
  3. Scroll to Type and select Action Form you need to submit.
  4. Address the document to the appropriate party(ies).
  5. Enter a Status.
  6. Enter a meaningful Title.
  7. Fill out the fields as necessary.
  8. Click .

Quality Reports

Quality Reports are run by document type. This gives the option to run a report by Lot (LOT) or sub-lot (sub-lot). To run:
  1. Click on the Reports Module
  2. Select the Quality Report
  3. Select the document type from the dropdown box.
  4. Select the status from the dropdown box.
  5. Enter any date parameters
  6. Click to run the results to the screen or to export the results to a Excel spreadsheet.
